Sales & Marketing Administrator, UOVO: NYC

UOVO seeks a Sales and Marketing Administrator to support a wide range of projects including research, CRM maintenance, and events related to business development, project management, and marketing.

The ideal candidate has significant administrative experience, including entering, analyzing and reporting data in a timely and accurate manner. They must be confident learning and using new database systems. A detail-oriented nature and a strong command of Excel are essential. The role requires multi-tasking, clear communication and a high degree of professionalism at all times. Experience working with high-touch clientele, and/or a knowledge of the fine art and fashion sectors valued but not required.

Key responsibilities:

  • Track, process, and file leasing documents and deposits
  • Liaise with clients regarding leasing documents, deposits, estimates, proposals, and appointments
  • Own, maintain, and improve key Excel tracking files
  • Track and disseminate weekly, monthly, and quarterly sales data
  • Assist the Sales and Marketing team with administrative duties, data analysis, proposal preparation, scheduling, and filing
  • Develop administrative systems to increase Sales and Marketing team efficiency
  • Conduct research on prospective clients and markets
  • Marketing event, collateral and shipment coordination, including monitoring RSVPs, liaising with outside vendors, obtaining price quotes, managing inventory and overseeing deliveries / reorders
  • Developing marketing lists and maintaining relevant marketing data
  • Creating and sending staff communications across departments
  • Website maintenance
  • Adherence to all company policies and high ethical standards
  • Any other projects or tasks assigned by Manager

Required qualifications:

  • 5 years related administrative experience
  • Strong command of Microsoft Office, particularly Excel
  • Database management experience
  • Highly organized
  • Strong attention to detail
  • Exceptional communication skills
  • Effective multi-tasker

Preferred skills:

  • Knowledge of WordPress
  • Knowledge of the Adobe Suite, particularly Acrobat and Photoshop
  • Knowledge of Cision
    Prior experience working in fine art or fashion sectors
