Shuttle Coordinator – Long Island City, NY

UOVO, the premier storage and services provider for art, fashion, and cultural artifacts, seeks a full-time Shuttle Coordinator to support and manage the NYC metro-based Transportation Department. The ideal candidate will have strong organizational and communication skills, experience working in New York City art services and transportation industries and will be comfortable scheduling and project managing daily transport operations for UOVO’s trucking fleet. The Shuttle Coordinator will report to UOVO’s Transportation Manager.

Responsibilities include but are not limited to:

  • Support the Transportation Department in the efficient scheduling of daily local trucking and offsite installation/service requests
  • Directly coordinate and enhance UOVO’s Inter-UOVO, Chelsea and Delaware shuttle program, as well as regional and national tractor trailer runs
  • Provide accurate updates and tracking of daily truck deliveries, collections and installations/offsite art logistics
  • Correspond directly with clients to confirm overview and scope of upcoming service requests
  • Schedule art handler/driver assignments and driving hours in accordance with DOT regulations and internal man-hour tracking
  • In coordination with the Transportation Manager and the Fleet Manager, schedule internal meetings in UOVO’s scheduling database for art handlers/drivers and crew chiefs
  • Work in conjunction with the Account Management team and the Technical Operations staff to supply the art handler/driver team with any additional information, equipment or materials for complex offsite installations and coordination of project management for offsite work
  • Using UOVO’s databases, audit all Transportation work orders to ensure time, materials have been logged appropriately
  • Assist on ad hoc projects and duties as required
  • Adhere to all company policies and ethical standards
  • Focus on providing exceptional client service and satisfaction
  • Assist and collaborate with other technical managers and projects as necessary

Qualifications & Skills:

  • Team Player, able to work in a dynamic environment
  • Comfortable in a results-driven, fast-paced workplace
  • 3-5 years of logistical and art handling experience required
  • Familiar with fine art shuttle shipments and processes
  • Experience with DOT regulations and over the road trucking preferred
  • Demonstrated strategic thinking
  • Excellent communication and multitasking skills
  • Ability to learn UOVO’s software systems
  • Ability to quickly prioritize and allocate resources
  • Ability to push and pull 150 pounds on a dolly or cart, as well as 50 pounds without mechanical aid
  • Ability to carry 40 pounds of varying size and shape up to a distance of 90 feet
  • Ability to stand, walk, squat, bend, kneel, crouch, twist, and reach overhead
  • Ability to be exposed to outside weather conditions, including heat, cold, rain and snow
